Event Terms & Conditions & Participant Waiver

1. Introduction

Community Traverse events are long distance endurance races held in remote, mountainous, and/or rural environments. Participation requires a high level of physical fitness, self-sufficiency, and personal responsibility.

By registering for a Community Traverse event, participants acknowledge that they have read, understood, and agreed to these Terms & Conditions and Participant Waiver.

2. Assumption of Risk

Participation in a Community Traverse event involves inherent risks, including but not limited to:

  • Serious injury or death
  • Falls on uneven or technical terrain
  • Exposure to extreme weather conditions
  • Navigation errors
  • Fatigue and physical exhaustion
  • Encounters with traffic, livestock, or natural hazards

By entering, participants acknowledge these risks and always accept full personal responsibility for their safety and actions during the event.

3. Medical & Fitness Declaration

Participants confirm that:

  • They are physically and mentally fit to take part in the event
  • They have adequately prepared for the challenge
  • They do not suffer from any medical condition that may endanger themselves or others
  • They will inform the organiser of any relevant medical conditions if required

The organiser accepts no responsibility for the medical condition of participants.

4. Event Nature & Participant Responsibility

Community Traverse events may include sections that are:

  • Unmarked or minimally marked
  • Remote and exposed
  • Technically challenging

Participants are fully responsible for:

  • Their own navigation
  • Their own safety decisions
  • Managing their pace, hydration, and nutrition

Participants must act responsibly and within their limits at all times.

5. Mandatory Kit

A mandatory kit list will be issued prior to the event.

Participants must:

  • Carry all required kit at all times during the event
  • Present kit for inspection if requested
  • Ensure all equipment is functional and suitable

The organiser reserves the right to:

  • Conduct random kit checks
  • Update the kit list prior to the event based on conditions

Failure to comply may result in penalties or disqualification.

6. Race Director Authority

The organiser and Race Director reserve the absolute right to:

  • Modify the route
  • Alter checkpoints or cut-off times
  • Delay, suspend, or cancel the event
  • Withdraw any participant deemed unfit to continue
  • Enforce rules in the interest of safety

All decisions made by the organiser or Race Director are final.

7. Cut-Off Times & Rules

Participants must:

  • Reach checkpoints within designated cut-off times
  • Follow all instructions given by event staff and volunteers
  • Respect other participants, the environment, and local communities

Failure to comply may result in disqualification.

8. Withdrawal / Retirement

Participants who withdraw must:

  • Inform event staff or organisers as soon as possible
  • Return any issued equipment (including trackers)
  • Ensure they are accounted for

Failure to notify organisers may result in emergency procedures being initiated.

9. GPS Tracking

Where applicable, participants will be issued with a GPS tracking device.

Participants agree to:

  • Carry the tracker at all times during the event
  • Use the tracker as instructed
  • Return tracker as directed on the day

The organiser is not responsible for technical failures but will use tracking as a safety and operational tool.

10. Media & Image Rights

Participants agree that:

  • Photographs, video, and media captured during the event may be used for promotional purposes
  • No compensation will be provided for such use

11. Entry & Refund Policy

  • All entries are non-refundable
  • Event entry is secured via a minimum donation to support the specified event
  • Transfers may be permitted at the discretion of the organiser
  • The organiser is not responsible for personal circumstances preventing participation

12. Force Majeure

The organiser reserves the right to cancel, postpone, or modify the event due to circumstances beyond their control, including but not limited to:

  • Severe weather
  • Government restrictions
  • Natural disasters
  • Safety concerns

Rescheduling an event will be prioritised in the case of event cancellation outside of our control.

No liability will be accepted for such changes.

13. Liability

To the fullest extent permitted by law:

  • The organiser accepts no liability for injury, illness, death, loss, or damage sustained during participation
  • Participants take part entirely at their own risk
  • Nothing in these Terms limits liability where it cannot legally be excluded

By registering for a Community Traverse event and selecting the acceptance checkbox during the booking process, participants confirm that they:

  • Have read and understood these Terms & Conditions and Participant Waiver
  • Agree to be bound by them
  • Accept full responsibility for their participation
